Who we are

What we collect

Application details you give us: first and last name, date of birth, email address, mobile number (optional), university (or the institution you type in), course and year of study (optional), expected graduation year, student email address and the verification method used, and any referral or invitation code you enter.

Application and membership records: your application reference and status (pending, verified, approved, waitlisted, rejected), founding-member status, membership number, referral code, and referrals linked to your account.

Marketing preferences: whether you opted in to email and/or SMS updates, the consent status, the time it was recorded, the policy version and the source of the consent.

Attribution and technical data: UTM parameters (source, medium, campaign, content, term), first-touch and last-touch attribution, the landing page you arrived on, the referring website, and your browser user-agent string. Where you consent to analytics or marketing cookies, we also collect website analytics and advertising identifiers, which may include your IP address and device or browser information processed by those providers.

If and when event check-in is enabled for members, we will also record event attendance and check-in times linked to your membership.

We do not collect payment details, identity document scans, or location data through this website.

Why we use it

To assess membership applications, verify student and age eligibility, operate membership and entry, prevent fraud, measure marketing performance, and — where you have consented — send you updates about events.

Legal bases

Contract (delivering membership), legitimate interests (security, fraud prevention, assessing applications), consent (marketing messages, analytics and marketing cookies), and legal obligation (age-restricted venue compliance).

Marketing consent is separate from your application. It is optional, off by default, and declining it does not affect your application.

Sharing

We share data with our hosting and database provider, analytics and advertising platforms (including Meta) where you have consented, and venue partners strictly for entry management. We never sell your data.

Retention

Unsuccessful applications are deleted within 12 months. Membership records are held for the duration of your membership plus 24 months.

Your rights

You may request access, correction, deletion, restriction, portability, or object to processing, and withdraw consent at any time by emailing hello@thesocietylondon.co.uk. You can change or withdraw cookie consent at any time using the Cookie Preferences link in the footer. You may also complain to the Information Commissioner's Office (ico.org.uk).
